The Executive & HR Assistant is a key hybrid role supporting the Managing Director of Frequentis Middle East. You will ensure smooth day-to-day operations, support local HR activities, and act as an important interface between the regional organization, headquarters in Vienna, employees, and external stakeholders. Your contribution enables efficient business operations and supports both strategic and operational objectives.
Key Tasks
Act as a staff function to the Managing Director, coordinating and prioritising tasks across the UAE sites in Dubai and Abu Dhabi
Manage relationships with local authorities and external partners (e.g. Free Zone Authorities, banks, insurance, legal advisors, service providers)
Organise, prepare, and follow up on management meetings, workshops, and internal projects, ensuring implementation of management decisions
Take ownership of office management, including scheduling, travel coordination, event organisation, and administrative tasks
Support HR processes and initiatives, including recruiting, onboarding of new hires, and HR project implementation in close cooperation with Group HR
Act as the main HR contact person for local employees, providing guidance on HR processes and labour law topics
Maintain and create content for internal communication and employer branding, including the Frequentis Middle East landing page and newsletters
Ensure accurate documentation, reporting, and confidential handling of sensitive information
Key Qualifications
Education in business administration, human resources, or a related field
3–5 years of experience in a comparable role, ideally in an international or technology-driven environment
Experience in project coordination, HR processes, and office management
Solid knowledge of UAE labour law and experience working with local authorities
Very good skills in Microsoft Excel, Word, and PowerPoint
Excellent English communication skills; Arabic or German is a plus
Highly organised, proactive, and reliable, with a strong sense of confidentiality
